Description

Blue Care Network has a position available for an Executive Assistant to the Vice President of Customer Service. This position is located at BCN headquarters in Southfield, MI. This individual will provide complete administrative support services to the Vice President, exercising discretion and maintaining confidentiality in handling matters relating to the offices of the executive.

Maintains executive's schedule. Coordinates meetings, appointments, and communicates with other personnel to schedule executive functions, etc. Ensures all required information is available for scheduled meetings such as board of director activities. Completes executive's expense travel & reporting. Types, edits, and proofreads general correspondence including memos, letters, Excel spreadsheets, e-mails, corporate forms, and presentations. Provides complete support for meeting preparation and attendance including preparing meeting agendas and distribution, ordering food and supplies, taking meeting minutes, arranging schedules, reserving conference rooms and equipment, setting up equipment, and coordinating travel arrangements. Will be required to recap all weekly Senior Staff and monthly Executive Staff meetings within the established standards. Handles timesheet distribution & completion, documents requiring VP or SVP approval and other confidential department personnel files. Copies, faxes, mails, and distributes department documents and materials, and orders office supplies. Maintains a departmental office supply inventory. Coordinate machine repairs. Assist in the preparation of annual administrative budgets. Tracks and monitors expenses throughout the year. Acts as lead role with other administrative assistants when coordinating corporate initiatives/functions including: Maintains extensive filing system. Tracks equipment in department including changes, upgrades, etc. Other duties as assigned.

Qualifications

*
Four (4) years of experience in administrative/secretarial capacity which includes supporting multiple directors or supporting an executive(s) within a corporate setting required.

*
Experience managing budgets including budget variance reporting required.

*
High school diploma or GED certificate required; Secretarial or business courses preferred. Associate's degree preferred.

* Excellent verbal and written communication & grammar skills including the ability to develop outlines, prepare reports, and compose business letters from outlines and notes required.
* Excellent telephone etiquette required.
* Typing speed of 45 wpm with 95% accuracy required. .
* Intermediate knowledge of Microsoft Word, Excel, and PowerPoint required.
* Expert knowledge of Visio required.
* Excellent interpersonal skills including the ability to interact with internal and external customers and all levels of the organization required.
* Excellent organizational skills with the ability to handle multiple projects and timelines required
* Ability to type correspondence in an accurate manner required.
* Proven ability to handle and maintain confidential information required.
* Possess qualities of integrity, sound judgment, and initiative required.
